Can Claude Do Your Bookkeeping and Replace QuickBooks?
Bookkeeper.chat ·

In October the same question kept coming up on X. On October 9, a real estate investor with a large following asked why anyone still needs QuickBooks if Claude can track transactions, sort them into a Google Sheet and build reports. Two days later, CPA Rebecca Driscoll wrote that a friend who owns a bookkeeping firm had asked her whether Claude could do a full month-end close for a client without QuickBooks Online. On October 17, CPA JT Pells asked people who say they replaced their accountant with AI to show how they did it.
Claude, ChatGPT and similar assistants already handle much of the typing in bookkeeping. A closed month asks for more: a ledger that carries over from one month to the next, accounts that match the bank, evidence for every number and a second check before anything is final.
The short answer in one table
| Bookkeeping task | From a chat with Claude or ChatGPT | What it depends on |
|---|---|---|
| Categorize transactions | Yes | An export you provide and the categories you ask for |
| Draft journal entries | Yes | You checking them before they go into your books |
| Explain your numbers | Yes | The data you pasted into that conversation |
| Reconcile to bank statements | Partly | You pulling every statement and comparing balances |
| Carry the ledger into next month | Not from the chat alone | A file or system you maintain |
| Chase missing receipts | Not from the chat alone | Something set up to ask again |
| Independent review | No, if the same model drafts and approves | A second reviewer, human or separate |
| Lock the period | No | Your system of record |
| File taxes | No | A qualified professional |
Why this question is coming up now
| Date in 2026 | What happened |
|---|---|
| August 4 | Intuit updated its help article on AI agents in QuickBooks Online |
| September 16 | Mercury launched Mercury Books |
| October 9 | An investor on X asked why anyone still needs QuickBooks if Claude can do the work |
| October 11 | A CPA shared a firm owner’s question about a full close with Claude and without QuickBooks Online |
| October 17 | Another CPA asked people who replaced their accountant with AI to show their setup |
QuickBooks is adding AI itself. Intuit’s help center describes AI agents in QuickBooks Online. The accounting agent automates bookkeeping tasks and asks for more information when a bank transaction is unclear. According to the same page, these AI features can’t be switched off one by one.
Banks are building their own books. Mercury Books runs inside a Mercury business account, categorizes transactions automatically and produces P&L, cash flow and balance sheet reports. Mercury’s FAQ says Books is meant to replace tools like QuickBooks rather than sync with them. It is available only to Mercury account holders, free for all of 2026 and $35 per month after that.
Search interest started from almost nothing this year:
| Month in 2026 | US searches for “how to use Claude for accounting” |
|---|---|
| January | 0 |
| February | 0 |
| March | 40 |
| April | 50 |
| May | 70 |
| June | 90 |
| July | 50 |
| August | 70 |
Most results for that search are guides for accounting firms and finance teams. Meanwhile, a business owner asked a Claude user group how to get Claude to do all of their bookkeeping.
What Claude or ChatGPT can already do for your books
Export your transactions from the bank as a CSV, paste them into a chat, and a capable assistant can:
- suggest a category for each line;
- draft journal entries and explain them in plain language;
- build a simple profit and loss summary in a spreadsheet;
- answer questions such as “why did expenses jump in March?” from the data you gave it.
A first-pass prompt can be as simple as this:
Here is my March bank export. Suggest a category for each line
from this list: Advertising, Software, Meals, Travel, Owner's draw.
Mark any line you are unsure about instead of guessing.
For a one-off cleanup or a quick look at your numbers, this can save time.
Try it on a month that is already closed
A month your accountant or bookkeeper has already closed gives you an answer key.
- Export that month’s bank and card transactions. Remove account numbers before you paste anything into a chat.
- Ask the assistant to categorize every line and to list the ones it is unsure about.
- Compare its categories with the closed books, line by line.
- Count the lines that matched, the lines it flagged and the lines it got wrong without flagging.
The last count matters most. A flagged line gets a quick look from you, while a confident wrong category can end up in your tax numbers.
What a closed month needs
Categorized transactions are one step of the close. For a small business, a closed month usually means:

- Every bank and card account is in the books, including the ones you forgot to export.
- The books match the statements: balances reconcile, nothing is duplicated, nothing is missing.
- Missing receipts and unclear payments are chased down with the person who knows the answer.
- Unusual entries are reviewed by someone other than the person who made them.
- The period is locked, so last month’s numbers don’t change by accident.
- You and your accountant get reports from the same ledger.
Where a chat window falls short
A chat is a good place to do the work. The records have to live somewhere else. In a do-it-yourself setup, that place is your spreadsheet and your folder of receipts. Four gaps show up first.
Continuity
Opening balances, last month’s adjustments and rules such as “Uber rides are personal unless they are client trips” have to come along every month. If they live only in an old conversation, the next month starts from scratch.
Reconciliation
An assistant can compare the bank list and the books list you paste in. It has no way to know about a card account that never made it into the export, so a person still checks every account against its statement.
Evidence
When your CPA asks where a number came from, the answer is a bank line, a receipt and the person who decided the category. A chat transcript is a weak substitute for that trail.
Follow-ups and review
A chat answers when you write to it. Following up next week on a receipt that never arrived is a separate job, and someone has to own it. Review works when the checker is separate from the preparer: a second person, or a second system with its own rules.
So, can AI replace QuickBooks?
QuickBooks is a ledger plus the workflow around it. You can drop the software only if something else keeps the ledger. A small business has roughly four options today:

| Option | Who keeps the ledger | What is left for you | Cost to know about |
|---|---|---|---|
| QuickBooks with its built-in AI | QuickBooks | Review what the agents do | A QuickBooks Online plan |
| Bank-built books, such as Mercury Books | The bank’s accounting product | Bank with that provider and connect your other accounts | Mercury Books: free in 2026, then $35 per month |
| A spreadsheet plus Claude or ChatGPT | You | Export, prompt, reconcile and keep evidence every month | An AI subscription plus your time |
| An AI bookkeeping service with its own ledger | The service | Answer questions and send documents | Depends on the service; Bookkeeper.chat charges only for closed months |
How to choose:
- If your accountant works in QuickBooks and you are happy there, its built-in AI is the smallest change.
- If you already bank with Mercury and your books are simple, compare Mercury Books with your QuickBooks bill.
- If you like spreadsheets and have time each month, the do-it-yourself route can work for very simple books.
- If you want someone else to keep the ledger and close the month, look at an AI bookkeeping service.
Will AI replace bookkeepers?
AI is taking over most of the data entry. People still decide whether a payment is personal or business, whether a missing receipt matters and when the numbers are ready for your tax professional.
For bookkeepers, the job moves toward review and client questions. For business owners, the practical question is who reviews your books and how often.
How Bookkeeper.chat handles the close
Bookkeeper.chat is built for small business owners who want the month closed without running accounting software. It runs on its own ledger, so you don’t need QuickBooks or Xero.
- You tell Bookkeeper.chat what happened in a message, like “Paid $120 Facebook ads”, or email your statements.
- An AI Bookkeeper books the entries and an AI Reviewer checks every one.
- When something is unclear, Bookkeeper.chat asks you.
- You pay only for months we close.
Bookkeeper.chat automates bookkeeping, not final filings. Always have a qualified professional review before submitting to the IRS.

FAQ
Can Claude replace my bookkeeper?
For the typing, largely yes. For a closed month, only with a ledger, reconciliation, follow-ups and review set up around it.
Is Mercury Books a QuickBooks replacement?
For Mercury customers, that is how Mercury positions it. Businesses that bank elsewhere can’t use it.
Does Bookkeeper.chat work for accounting firms?
Yes. Instead of an offshore team, firms get an AI Bookkeeper that does the work and an AI Reviewer that checks every entry, so the senior sees exceptions only. See the section for accounting firms.
